Archiving Faxes

The FaxPress Enterprise Archive is one of the FaxPress Enterprise server’s embedded services. The default startup type is automatic. FaxPress Enterprise Archive generates fax and log file archive information data. This data is stored in a database for subsequent archive retrieval. FaxPress Enterprise supports either MS SQL or MS Access database types. The Archive directory can be any sharable folder on the network.

FaxPress Archive provides five essential functions:

Backup of all FaxPress Enterprise fax information to a single database. (For Enterprise system backup, see Backup and Restore for FaxPress Enterprise.)
Archiving of outgoing faxes, incoming faxes, and transaction logs for all FaxPress Enterprise users.
Creation of archival transaction information for each fax or log and stores the data in a database.
Viewing, sorting, mailing, printing, and re-sending of archived faxes directly through FaxPress Plus.
Optimizing FaxPress Enterprise performance by moving faxes from FaxPress Queues into the archive database.

The configuration wizard provided for setting the Enterprise Archive parameters will require the following information:

What to archive: incoming faxes, outgoing faxes, or transaction logs.
The archival frequency and storage format
The type of database used to store the archival information (SQL server or Access)
The database housekeeping operations

FaxPress Enterprise Archive features include:

Automatic scheduling of archiving as often as every 10 minutes.
Automatic purging of faxes from the outgoing and incoming queues after archiving.
Two modes of operation, Administrative View and All User View. All User View allows end users to view, delete or resend archived faxes at anytime. Administrative View mode restricts these features to users with Administrator privileges.
Ability to select type of faxes or transaction logs for archival.

FaxPress Enterprise Archive consists of three components:

The FaxPress Enterprise Archive ProgramThe Archive program runs as a service on the FaxPress Enterprise. The Archive program settings are taken from the registry and are set by the configuration program.

The FaxPress Enterprise Archive Configuration Program The configuration program lets the administrator determine which faxes to archive, when to archive, what format the archived faxes should be stored in, whether to archive transaction logs, which database to use to store archive transaction information and whether to purge old records from the database. To access the configuration program, open FaxPress Plus’s Embedded Services folder, right-clicking on the Archive service and selecting Configure.

A Microsoft SQL or Access Database The SQL or Access database is used to store archive information about the faxes (e.g. when it was sent/received, the fax owner, the remote terminal ID, etc.) With Access, the FaxPress Enterprise 4.0 Archive configuration service will automatically generate a database for the Archive during the installation process. With SQL, an MS SQL database must already be created. The FaxPress Enterprise 4.0 Archive configuration service will, however, automatically generate tables/ data structures within the SQL database for the Archive.

Once configured and started, the Archive service goes through the outgoing and incoming fax queues for all the FaxPress Enterprise users and stores all the faxes into the specified Archive directory, a shared folder on the network. The records for the archived faxes are stored in either a Microsoft SQL or Access database.

Updating and Reconfiguring the FaxPress Enterprise Archive

You can change or create a new database, change the archive schedule, the mode of operation, or what files are archived at any time by running the FaxPress Enterprise Archive’s configuration utility.

Anytime you change the configuration of FaxPress Archive you must restart the FaxPress Enterprise Archive service. For information on starting and stopping the Archive server, see Starting and Stopping the Archive Service.
